Privacy Policy
Last Updated: January 15, 2025
At UltraProFlux, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you work with us. We've written this in plain language because we believe you deserve to understand exactly what happens with your data—not buried in legal jargon that nobody actually reads.
Who We Are
UltraProFlux operates from Thailand, providing professional coordination services for teams and contractors. Our business address is 99 หนองกรด Mueang Nakhon Sawan District, Nakhon Sawan 60240, Thailand. When we say "we," "us," or "our," we're talking about UltraProFlux and the people who work here.
Since we operate in Thailand, we follow Thai data protection laws including the Personal Data Protection Act (PDPA). But honestly? We'd protect your information carefully regardless of what the law says—it's just good business practice.
What Information We Collect
We only collect information that helps us provide better service. Here's what that looks like in practice:
Contact and Business Information
When you reach out or work with us, we collect basics like your name, email address, phone number, and company details. If you're coordinating teams through our platform, we'll also have information about your project requirements and team structure.
Communication Records
We keep records of our conversations—emails, support tickets, meeting notes. This helps us remember context when you contact us six months later about that thing we discussed. It's saved us (and our clients) from countless "wait, what did we decide about that?" moments.
Usage Information
Our systems log technical stuff like IP addresses, browser types, and which pages you visit on our site. This helps us fix problems and make the site work better. For example, if everyone's having trouble on mobile, we need to know that.
Payment Details
If you pay us for services, we collect billing information. But here's the thing—we don't store your full credit card numbers on our servers. Payment processors handle that part because they're way better equipped for it than we are.
How We Use Your Information
We're not in the business of selling data or sending you endless marketing emails. Here's what we actually do with your information:
- Provide the services you hired us for. Pretty straightforward—if you're coordinating a team through us, we need your information to make that happen.
- Communicate about your projects. Updates, questions, problems that come up. The usual back-and-forth that happens when people work together.
- Send important notices. Changes to our services, security updates, billing issues. Stuff you actually need to know about.
- Improve our services. We analyze how people use our platform to figure out what's working and what's frustrating. Then we fix the frustrating parts.
- Handle legal requirements. Sometimes we have to keep records for tax purposes or respond to valid legal requests. It's boring but necessary.
What we don't do: We don't sell your information to data brokers. We don't spam you with marketing unless you've specifically asked for updates. And we don't use your data for purposes completely unrelated to the services you signed up for.
Who We Share Information With
We keep your information pretty close to the chest, but there are a few situations where we share it:
| Who | Why | What They Get |
|---|---|---|
| Service Providers | Companies that help us run our business (hosting, email, payment processing) | Only what they need to do their specific job |
| Team Members You're Coordinating | Can't coordinate teams without sharing relevant project information | Project details, contact info, work requirements |
| Legal Authorities | When we're legally required to comply with valid requests | Whatever the law specifically requires |
| Business Transfers | If UltraProFlux is sold or merged (though we're not planning that) | All business records including customer data |
All our service providers sign agreements promising to protect your data. We don't work with companies that have sketchy privacy practices.
Your Rights Over Your Data
Under Thai PDPA and our own standards, you have real control over your information. Here's what you can do:
Access Your Data
You can request a copy of all the personal information we have about you. We'll send it in a readable format within 30 days. Email help@ultraproflux.com with "Data Access Request" in the subject line.
Correct Inaccurate Information
If something we have on file is wrong, just tell us and we'll fix it. Simple as that. We'd rather have accurate information anyway—it makes our job easier.
Delete Your Data
You can ask us to delete your personal information. We'll do it unless we have a legitimate reason to keep it (like ongoing projects, legal requirements, or unresolved billing issues). We'll explain if we can't delete everything and why.
Object to Processing
If you don't want us using your data for a particular purpose, you can object. We'll stop unless we have compelling legal grounds to continue. Marketing emails? You can opt out anytime—there's an unsubscribe link in every message.
Data Portability
Want to take your data to another service provider? We'll give you a machine-readable copy of your information. No hard feelings—we get that businesses change providers sometimes.
To exercise any of these rights, contact us at help@ultraproflux.com or call +6633135009. We'll need to verify your identity first (to make sure we're not handing your data to a random stranger), but we'll respond within 30 days.
How We Protect Your Information
Security isn't just a checkbox for us. Here's what we do to keep your data safe:
- Encryption: Data is encrypted when it travels between your computer and our servers. We also encrypt sensitive data when it's stored.
- Access Controls: Only employees who need access to do their jobs can see your information. Everyone signs confidentiality agreements.
- Regular Security Updates: We keep our systems patched and up-to-date. Boring but critical.
- Secure Facilities: Our servers are housed in facilities with physical security measures. Can't hack a server if you can't physically reach it.
- Regular Backups: We backup data regularly so nothing gets lost if something goes wrong.
- Incident Response: We have plans for responding to security breaches. Hopefully we never need them, but they're there.
If something goes wrong: Despite our best efforts, no system is 100% secure. If we ever have a data breach that affects you, we'll notify you within 72 hours and explain what happened, what information was involved, and what we're doing about it.
How Long We Keep Your Data
We don't keep information longer than we need to. Here's our general approach:
- Active Client Data: Kept while you're working with us and for a reasonable period after (usually 2-3 years) in case you come back or have questions about past projects.
- Financial Records: Kept for 7 years to comply with Thai tax laws. Not our rule—that's what the government requires.
- Marketing Communications: If you unsubscribe, we keep your email on a "do not contact" list so we don't accidentally email you again. But we delete everything else.
- Support Records: Kept for 3 years so we can reference past issues if similar problems come up.
- Technical Logs: Usually deleted after 90 days unless needed for troubleshooting specific issues.
When we delete data, we actually delete it—not just hide it. The only exception is backups, which might retain data for up to 6 months before being overwritten.
International Data Transfers
We're based in Thailand, but some of our service providers operate servers in other countries. When your data crosses borders, we make sure it's protected:
- We only use providers who meet international data protection standards
- Data transfer agreements are in place requiring security measures
- We prefer providers with servers in Thailand or countries with strong privacy laws
- Encryption protects data during transfer regardless of destination
If you have concerns about data being processed in specific countries, let us know. We can't always accommodate every preference, but we'll be upfront about where your data goes and why.
Cookies and Tracking
Our website uses cookies—small files stored on your device that help the site function. Here's what we use them for:
Essential Cookies
These make the site work. Things like keeping you logged in, remembering your language preference, and basic security. We can't really give you a choice about these—without them, the site doesn't function.
Analytics Cookies
These help us understand how people use our site so we can improve it. They're anonymized—we see overall patterns, not individual behavior. You can opt out of these if you want.
We don't use advertising cookies or share cookie data with advertisers. Your browser settings let you block or delete cookies, though some site features might not work as well if you do.
Children's Privacy
Our services are designed for businesses and professional teams. We don't knowingly collect information from anyone under 18. If we discover we've accidentally collected data from a minor, we'll delete it immediately.
If you're a parent and think your child has given us information, contact us right away at help@ultraproflux.com.
Changes to This Policy
We'll update this policy occasionally as our services evolve or laws change. When we make significant changes, we'll notify you by email or with a prominent notice on our site. The "Last Updated" date at the top shows when the most recent changes were made.
We won't reduce your rights under this policy without your explicit consent. If we want to use your data in new ways, we'll ask permission first.
Questions and Complaints
If you have questions about this policy or how we handle your data, we want to hear from you. Seriously—if something's unclear or concerning, it's better to ask than worry about it.
You also have the right to file a complaint with Thailand's Personal Data Protection Committee if you think we've mishandled your information. But we hope you'll talk to us first so we can fix any problems directly.
